Should You Book Your Wedding Venue Before Hiring a Planner?

One of the questions I often receive from couples planning their wedding in Tuscany is whether they should book their venue before contacting a wedding planner.

And my answer is: both options can work!

I've worked with couples who already had their dream venue booked, and others who contacted me before they had even decided which part of Tuscany they wanted to get married in.

Neither approach is necessarily wrong.

But there are a few things worth considering before making such an important decision.

If you've already found your dream venue

Perhaps you've visited Tuscany before, fallen in love with a particular villa, or discovered a property online that feels absolutely perfect.

You've checked availability, discussed the costs, and you're ready to book.

Wonderful!

You don't necessarily need a wedding planner to tell you which venue you should love.

However, before signing a contract, I'd encourage you to look beyond the photographs and the rental price.

For example, does the venue have a suitable indoor alternative if it rains?

Are there restrictions on music or party hours? Can you choose your own suppliers? Is there a professional kitchen available for the catering team?

And what exactly is included in the rental fee?

Sometimes, a venue that initially seems affordable becomes significantly more expensive once you add furniture, lighting, catering equipment, accommodation requirements, or other services.

None of these things necessarily makes it a bad choice.

But it's important to understand what you're committing to.

What changes when you hire a planner first?

When couples involve me before booking their venue, I can help them evaluate different properties with both their wishes and the practical requirements of the wedding in mind.

I start by understanding their priorities.

How many guests are they expecting? Do they want everyone to stay together? Are they imagining a relaxed countryside celebration or something more formal? Is having a late-night party essential?

And, of course, what budget are they comfortable with?

From there, we can identify properties that make sense for their plans.

A beautiful villa might be perfect for one couple and completely unsuitable for another.

The goal isn't to find the most famous venue or the one I know best.

It's to find the one that works for you.

A venue can influence much more than you expect

Something couples don't always consider is how many other decisions depend on the venue.

Its location can influence transport costs and supplier travel fees.

Its layout can affect the furniture, lighting, floral installations, and even the number of staff required.

Its rules may determine when music must stop or which areas can be used for different parts of the celebration.

And if accommodation is included, there may be minimum-stay requirements or additional conditions to consider.

Choosing a venue is also choosing the framework within which your wedding will be organised.

That's why understanding the practical implications before signing can be so helpful.

But what if you've already booked?

Then we start from there!

I certainly wouldn't want a couple to feel they've made a mistake simply because they booked their venue before hiring me.

Once we're working together, I'll study the property, review the arrangements already agreed upon, communicate with the venue manager, and help organise the remaining aspects of the wedding.

Naturally, some decisions may already be fixed by the contract.

But that doesn't mean we can't create a wonderful celebration within those conditions.

So, which should come first?

If you're still exploring venues and would appreciate professional guidance before making a commitment, involving a planner early can be a real advantage.

If you've already found and booked a venue you love, that doesn't mean you're too late to benefit from professional planning.

What's important isn't following a particular order. It's understanding the decisions you're making and what they mean for the rest of your wedding.

And whether your venue is already confirmed or still waiting to be discovered, I'd be happy to help you plan the next steps.
